Schedule appointments/meetings and establish appointment priorities.
Summarize content of incoming mail & data and prepare reports on important issues.
Manage, in the supervisor’s absence that requests for the action and information are furnished in a timely manner.
Maintain policy and confidential files, records and documentation.
Manage all travels related bookings.
Maintain and perform other personal tasks as and when required.
Have a proactive approach and be able to anticipate and perform tasks required by the executive.
Arrange staff representation at various forums, meetings and conferences.
Manage routine correspondence and telephone calls independently
Job Specification
Graduate with 8-10 years experience as Executive Secretary to top management of large organizations.
Presentable, responsible and dedicated with strong work management habits and disciplines.
Proactive, quick thinker, fast leaner, flexible and problems solver.
Ability to work under pressure and for late hours.
Outstanding communication and interpersonal skills.
Ability to draft letters independently is essential. Knowledge of short hand preferable.
High level of proficiency in computer applications including MS Office and Outlook Express.
